AIIB would like to select suitable candidates to fill the position of Board Operation Assistant for Office of the Corporate Secretary.
Monthly salary (before tax and social security insurance deduction) will be between RMB 14000 and 17000 yuan which is based on the competencies and skills demonstrated by applicants in the interview and experiences.

Section 1: Responsibilities
The Board Operation assistant performs the responsibilities under the oversight and guidance of the professional staff members of the Corporate Secretariat of the Bank.
(1) Administrative Support to the Board of Directors Meetings and Events, the Board Officials and the constituencies
· Assist in developing and maintaining the 18-month Board activities planner and organizing the Board of Directors meetings and associated sideline events.
· Implement the internal requirements and the policy of public information regarding to the disclosure of the Board of Directors.
· Support Board of Directors and the committees’ meetings and events regarding to the logistics arrangement; including bookings and prepare work on physical/virtual meeting registration, venue setup, transport, lodging, catering, expense budgeting, vendor selection and processing, payments and reimbursement.
· Draft notice of meeting and other documents of the Board of Directors and the committees’ meetings and events.
· Assist in developing and implementing Board induction program; Contribute to the preparation of briefings for Board constituency consultations, Board trips, Board briefings and Board workshops.
· Support the budget monitoring and expenses tracking related to Board of Directors operations; prepare budget memos and reports; track quarterly expenses; prepare annual budget plan.
· Provide admin support to officials of the Board of Governors and the Board of Directors, members of the International Advisory Panel (IAP), and external members of the Board committee, including expenses settlement and reporting, visa facilitation, and IT hardware/software support for Board.
· Provide admin support as requested to constituency operations of the Board of Directors, including logistical support on expense budgeting, approval processing, payments and reimbursement for qualified expenditure.
(2) Communication with the Board of Directors
· Act as the working level focal point for Bank communication with the Board; responsible for the day-to-day communication with the non-resident Board of Directors, Board of Governors and the office teams of Members of the Bank.
· Support to maintain high-quality and smooth flow of information between the Bank and the Board through physical and virtual means, including but not limited to physical meetings, virtual meetings, individual and SEC service email accounts for Board, Board portal, and informal engagements.
· Support to provide high-quality and timely responses to Board enquiries in line with the Bank’s policies and guidance on information provision to the Board.
· Watch activities on Board operations service email accounts and direct inquiries and requests timely to appropriate sources within the Bank for response.
(3) Development and Maintenance of Board Portal/Board Information Database:
· Maintain and update the Board Portal and Board Information Database Board.
· Participate in the development, operation and continual enhancement of the Board Portal and Board Information Database.
Others
· Support in preparing major corporate events, including the Annual Meeting of the Board of Governors
· Other assignments related to the responsibilities of the Corporate Secretariat of the Bank
Section 2: Requirements
· Strong verbal and written communication skills in English.
· Demonstrated organizational skills with the ability to work as a team member, work proactively, prioritize work, plan ahead and work under pressure.
· Experience exercising discretion and confidentiality with sensitive corporate information.
· Demonstrated high standards of ethics.
· Experience with international or financial institution(s) a plus
· Multi-cultural exposure a plus
· Bachelor’s degree or above in related fields from a reputable university.
· Skills with MS Office applications a must. Experience with videoconferencing solutions a plus.
