The Asian Infrastructure Investment Bank (AIIB) is a multilateral development bank with a mission to improve social and economic outcomes in Asia and beyond. The Ethics Office is headed by the Chief Ethics Officer and handles matters related to the Code of Conduct for Bank Personnel and Board Officials respectively.
The Ethics Office is looking for an Assistant to provide high-caliber administrative and research support to the Chief Ethics Officer, as well as to the professional staff and consultants. The successful candidate is expected to provide a full-range of high quality administrative and research support functions, which include:
- Managing the Chief Ethics Officer’s and team’s schedules, setting up appointments with internal and external counterparts, compiling meeting materials, and communicating information to all relevant parties;
- Undertaking research, drafting routine office correspondence and meeting minutes, and proofreading find documents following AIIB’s style guide;
- Maintaining up-to-date files and records of all correspondence and documentation related to activities (both paper and electronic) for easy, ready access by assigned users;
- Administering the office budget;
- Using the full suite of available software (Microsoft Office, Excel, PowerPoint, Cloud systems, etc) to assist the team in word processing, preparation and editing of presentations, figures and charts, website updating, social media outreach etc.;
- Participating in relevant Bank training for Assistants, and transferring required information/skills to the Ethics Office colleagues; and
- Supporting all other Ethics Office activities.
Candidate Requirements
- At least a Bachelor’s degree in legal, political science, economics or related fields from a reputable university;
- Minimum of one year of relevant experience in a legal office, corporate compliance unit or international organization. Discretion and experience working in highly confidential environments is a plus;
- Outstanding interpersonal skills and a proven track record of being a team player, innovative coordinator and helpful colleague;
- Effective organizational, planning and time-management skills and a responsive, problem-solving orientation;
- Demonstrated ability to balance and manage multiple priorities across a team;
- Comfortable undertaking photocopying, faxing, scanning, etc., as needed;
- Excellent command of written and spoken English; and
- Advanced knowledge and experience of working with Cloud systems, Microsoft Office applications (Word, Excel, PowerPoint, etc.), graphic and other relevant office software.
