Temporary Visa Assistant Embassy of Ireland, Beijing

 

Our mission is to promote and protect abroad the values, interests and economic well-being of Ireland and its people. We do this under the political direction of our Ministers, through our staff at home and through our Embassy network abroad.

 

The Visa Office in the Embassy of Ireland is seeking to recruit a proactive and flexible individual to fill the position of Visa Assistant for appointment to four month fixed term contract. The position on offer is a temporary post. The work requires supporting the Visa Officers and Visa Office team in delivering the objectives of the Visa Office and the Embassy of Ireland.

 

Roles and Responsibilities:

The precise range of duties will vary over time according to the needs of the Visa Office, but will include the following:

 

• Administrative support (public counter duties, telephone duties etc.);

• Dealing with enquiries from internal and external stakeholders;

• Translation and interpretation tasks (English and Mandarin);

• Maintenance of accurate office records;

• To undertake project research as directed;

 

Essential Requirements candidates must be able to demonstrate:

• Fluent written and spoken English and spoken Mandarin.

• Good drafting and report writing skills in English.

• Knowledge of Microsoft Office, particularly Excel and Word.

• Excellent interpersonal, organisational and customer-service skills.

• Ability to work on one’s own initiative and as part of a busy team.

• Good time-management skills.

• Experience dealing with data-entry tasks and databases.

• Flexibility and adaptability to change in the work environment.

• Bachelor’s Degree from a university or attending; or an acceptable equivalent through work and education.

• The legal right to work in China; All locally hired staff are required to have a legal entitlement to live and work in the country prior to hiring.


Desirable Skills and Experience:

• Chinese Mandarin language/translation skills

• Mongolian language/translation skills.

Terms and conditions of employment:

• The successful candidates will be hired on a four-month fixed-term contractual basis and will be based at Visa Office, Embassy of Ireland, Beijing.

• Monday to Friday, 35 hours per week, with standard office hours from 9am to 5pm

• The gross salary for the position is CNY 8,089 PER MONTH paid locally on a monthly basis. Salaries are paid direct to a bank account, therefore, the successful candidate must have a bank account.

Selection Process:

• Depending on the number of applications received, a short-listing of candidates to be called for a competency-based interview may be undertaken based on the Essential/Key Requirements above.

• It is planned that interviews will be held before the end of April 2025.

• A skills test may be included in the recruitment process;

• A second interview may be included in the recruitment process; and

• A panel may be set up depending on the calibre of candidates;

Security Clearance for Local Staff

Police security clearance will be sought in respect of individuals who come under consideration for appointment. Enquiries may also be made with the police force of any country in which the applicant under consideration for appointment resided. If unsuccessful, this information will be destroyed. If the applicant subsequently comes under consideration for another position, they will be required to supply this information again.
