Summary: |
The U.S. Mission in Beijing is seeking an eligible and qualified applicant for the position of Travel Assistant. |
||
|

Duties: |
The Travel Assistant arranges for the majority of logistical support for official visitors including hotel, airport, transportation, interpreters, welcome kits, cell phones and control room set up. On small to medium size visits this position is the main contact for all logistical support working directly with the control officer; for large visits this position may focus on one area of support as determined by the Supervisor of the Visitors Unit or GSO. Manages Mission China's visitor profiles (including PII such as credit card and passport details), preferences and historical records. Reconciles all billing and charges for services and goods received during visits/events. |

Qualifications and Evaluations |
|
||
|
Education: |
Two (2) years college or university studies is required. |
||
|
Requirements: |
|
||
|
EXPERIENCE: |
A minimum of five (5) years of administrative experience in travel, hospitality, logistics, or customer service with a demonstrated substantial interaction with English-speakers is required. |
||
|
JOB KNOWLEDGE: |
Requires a detailed understanding of various Chinese regulations, particularly those pertaining to immigration, customs, security and pet quarantine. Also requires a detailed understanding of how Chinese regulations and laws are enforced, and of which Chinese bureaucrats have the power to make decisions on a wide variety of logistical matters, from airport tarmac access and various levels of VIP visitor support (i.e. police escort, VIP lounge, etc.) to emergency visa issuance. Also requires good understanding of local hotel industry and airlines' schedules and practices, particularly those pertaining pet transport. Familiarity with US protocol and DOS travel policies. Thorough understanding of USG procurement, protocol and travel policies.

LANGUAGE: |
Level IV (Fluent) reading/writing/speaking in English is required. (This will be tested.) Level IV (Fluent) reading/writing/speaking in Mandarin is required.

SKILLS AND ABILITIES: |
Must have exceptional organizational and time management skills. Must be able to follow up with requesters on every small detail. Incumbent should have expertise in customer service. Must be resourceful to find creative solutions to problems. Must have computer skills: Standard Microsoft package -Microsoft Word; Microsoft Excel; PowerPoint, Outlook. |
