The role of DFAT is to advance the interests of Australia and Australians internationally. This involves strengthening Australia’s security, enhancing Australia’s prosperity, including by supporting Australian businesses in overseas markets, delivering an effective and high-quality overseas aid program and helping Australian travellers and Australians overseas. The Department provides foreign, trade and development policy advice to the Australian Government. DFAT also works with other Australian government agencies to drive coordination of Australia’s pursuit of global, regional and bilateral interests.

About the position
The position supports the Human Resources Section. The HR Assistant assists with the day to day operations relating to the human resources functions including payroll processing, mandatory reporting to the Diplomatic Services Bureau, administering of employee agreements and reconciliations of HR records. The role primarily focuses matters relating to Locally Engaged Staff (LES), however, will also be opportunities to work on a broader scope of HR services issues relating to diplomatic and protocol matters.
· Process payroll and other salary entitlements accurately in the Human Resources IT system (IPL)
· Undertake routine essential HR functions, such as processing leave; higher duties, overtime and superannuation entitlements and providing declarations of income.
· Collate monthly attendance records and process in line with Embassy’s requirements.
· Create and maintain employee personnel files; ensure that staff information are current and updated as needed in the Embassy’s records management system (EDRMS).
· Provide regular and ad hoc HR reporting, such as End of Month Reports for leave provisions and accrued salaries, updating the Embassy’s Overseas Staff Profile, and reconciling leave balances.
· Assist in other key HR functions such as recruitment, induction and termination.
Selection Criteria
Applicants should address all five (5) of the selection criteria below, clearly outlining their claims and specific experience that makes them suitable for this position (maximum 250 words each criteria).
· Experience and competency in general administration duties, reporting and document management, preferably within a Human Resources function.
· Clear and effective written and verbal communication skills in English and Chinese, with excellent attention to detail and drive for delivering work to a high standard.
· Strong organisational and time management skills including the ability to manage competing and/or changing priorities, and meet deadlines.
· Good research capability, analytical and problem solving abilities.
· Initiative, flexibility, adaptability, ability to operate and work effectively as a team member
